Publication Ethics

Recognizing the importance of maintaining high ethical standards and the responsibility inherent in scientific publication, the  Scientific Bulletin of the Center for Museums adheres to the principles of transparency and best practices in scientific publishing proposed by the Committee on Publication Ethics (COPE). In the event of research misconduct by authors, the journal will proceed in accordance with the flowcharts established by COPE.

Authorship Policy

In accordance with the guidelines of organizations such as the Committee on Publication Ethics (COPE) and the International Committee of Medical Journal Editors (ICMJE), the journal considers that a person’s inclusion as an author in a paper results from their significant contribution to the scientific aspects of the work. In this regard, for a person to be included as an author on a manuscript, they must meet all four of the following requirements:

  1. Have made a substantial contribution to the conception or design of the work; or to the acquisition, analysis, or interpretation of data for the work. AND
  2. Have participated in the drafting of the manuscript or its critical review with regard to its significant intellectual content; AND
  3. Have approved the final version to be published; AND
  4. Be able to take responsibility for all aspects of the manuscript to ensure that issues related to the accuracy or integrity of any part of the work are properly investigated and resolved.

It is the collective responsibility of the authors—and not that of the Journal—to ensure that the manuscript includes all and only those individuals who meet all four requirements. The Journal declines any responsibility for potential conflicts arising from the authorship of published works. However, to ensure efficiency in the editorial process, the Journal will correspond with a single person explicitly designated by the authors.

Acknowledgments

Contributors who do not meet the four authorship criteria should not be listed as authors, but they may be acknowledged in the acknowledgments. For example, assisting with data collection, providing financial support, helping with writing, or overseeing a research group are not, on their own (without other contributions), sufficient criteria to be listed as an author. Those who have collaborated may be acknowledged in the acknowledgments, either individually or as a group, under a single reference (for example, “the participating researchers”), and their contributions must be specified (for example, as scientific advisors, critical reviewers of the study proposal, data collectors, or contributors to the drafting of the manuscript). If authorization is required from the individuals acknowledged in the acknowledgments, it is the authors’ responsibility to obtain written permission.

Authors’ Contributions: CRediT Taxonomy

To strengthen the scientific integrity of articles published in the Journal and minimize potential disputes over authorship, manuscripts with two or more authors are required to describe each author’s contributions based on the CRediT Taxonomy (Contributor Roles Taxonomy) established by CASRAI; This taxonomy must be submitted by the corresponding author in the manuscript submission checklist along with the submission files; it must also be reviewed and approved by all authors involved.

Please note that an author’s contributionmay simultaneously encompass some of the following roles from the CRediT Taxonomy:

  1. Conceptualization: ideas, formulation, or development of the general objectives and goals of the research.
  2. Data curation: management activities to annotate (produce metadata), clean, and maintain research data (including software code, when necessary to interpret the data itself) for initial use and subsequent reuse.
  3. Formal analysis: application of statistical, mathematical, computational, or other formal techniques to analyze or synthesize study data.
  4. Funding acquisition: securing financial support for the project leading to this publication.
  5. Research: conducting research and the research process, specifically performing experiments or collecting data/evidence.
  6. Methodology: development or design of the methodology; creation of models.
  7. Project management: responsibility for managing and coordinating the planning and execution of the research activity.
  8. Resources: provision of study materials, reagents, supplies, patients, laboratory samples, animals, instrumentation, computing resources, or other analytical tools.
  9. Software: programming, software development; computer program design; implementation of computer code and supporting algorithms; testing of existing code components.
  10. Supervisión: responsibility for overseeing and leading the planning and execution of research activities, including mentoring individuals outside the core team.
  11. Validation: verification, either as part of the activity or separately, of the general replicability/reproducibility of results/experiments and other research outputs.
  12. Visualization: preparation, creation, and/or presentation of the published work, specifically the visualization/presentation of data.
  13. Original Draft Preparation: preparation, creation, and/or presentation of the published work, specifically the writing of the initial draft (including substantive translation).
  14. Writing – Review and Editing: preparation, creation, and/or presentation of the published work by members of the original research group, specifically critical review, commentary, or revision (including pre- or post-publication stages).

Number, Order, and Frequency of Authors

The Journal only accepts manuscripts with a maximum of five authors. Only in exceptional cases—such as inter-institutional studies of considerable size or complexity—may authors submit a manuscript with a number of authors exceeding the maximum. In such cases, a document explaining the reasons must be attached and signed by all authors. Receipt of the request does not obligate the Journal to accept the manuscript.

Furthermore, the Journal will not publish more than one article by the same author per issue, it is also clarified that, to submit a new original manuscript to the Journal, the author must wait a minimum of one year.

Once the manuscript has been submitted to the Journal, it will not be possible to make changes to the order or number of authors, therefore, all issues related to authorship must be resolved before submitting the manuscript for the first time.

Corresponding Author

This is the only person who will assume primary responsibility for communicating with the journal during manuscript submission, peer review, and the publication process, and will ensure that all the journal’s administrative requirements (completing the checklist, compiling résumés, managing signatures on the authors’ declaration of commitment) are properly fulfilled. And while some of these tasks may be delegated to one or more co-authors, the corresponding author must always be available throughout the entire process to respond to editorial inquiries in a timely manner.

Anti-Plagiarism Policy

Manuscripts submitted for review to the journal must be original and unpublished. The editorial team will verify the originality of all manuscripts submitted to the journal using a plagiarism detection tool that provides a percentage of matches with other documents. By submitting a manuscript for review to the journal, authors agree to have the document examined in order to prevent the publication of manuscripts suspected of plagiarism and to promote ethical publishing practices.

Authorizations and Permissions

Authors are responsible for obtaining the necessary permissions to reproduce portions of material (text, tables, or figures) from other publications and for correctly citing their sources. The contributions appearing here do not necessarily reflect the views of the journal. They are published under the authors’ responsibility.

If the author of an article wishes to subsequently include it in another publication, the journal in which it is published must clearly indicate the details of the original publication, following prior authorization requested from the journal’s editors.

For its part, the Journal reserves the rights to print and reproduce the material in whole or in part, as well as the right to accept or reject it. Likewise, it reserves the right to make any editorial modifications it deems appropriate. In such cases, the author will receive written recommendations from both the Editorial Board and the reviewers. If the author accepts these recommendations, they must submit the article with the suggested revisions by the deadlines set by the journal to ensure its publication.

Transfer of Copyright

The “Authors’ Commitment Statement ”, signed by each author, must be submitted along with the article.

The judgments and opinions expressed by the authors in the articles and communications published in the journal are the sole responsibility of the authors and do not reflect the criteria or policies of the Editorial Board, the journal, or the institution that publishes it.

Publication Rights

If the manuscript is accepted for publication, the reproduction rights will belong to the University of Caldas. As mentioned, each article must be accompanied by the “Authors’ Declaration of Commitment” form, which specifies that the work is unpublished and states that the reproduction rights are the exclusive property of the Journal, in addition to other aspects explicitly outlined in the document, such as the prohibition against simultaneous submission for publication in another journal. Furthermore, the author is responsible for obtaining the necessary permissions to reproduce any material protected by copyright and must clearly specify which table, figure, or text will be cited, along with the complete bibliographic reference.

Conflict of Interest

The Journal expects authors to disclose any commercial associations that could constitute a conflict of interest in connection with the submitted article.

Given the nature of the articles that may be published in the journal, conflicting interests may arise that could affect impartiality in editorial decisions or toward authors; therefore, each author must make an effort to identify such conflicts.

In this regard, authors must submit, along with the article and the declaration of commitment, a statement addressed to the journal clearly and concisely stating whether any conflicts of interest exist, specifying each one. In this statement, they must also specify the source of funding for the research conducted, as well as disclose any commercial, financial, or personal ties that could affect the article or the publishing institution.

Transfer of Copyright

The “Authors’ Declaration of Commitment”, form, signed by each author, must be submitted along with the article.

The views and opinions expressed in the articles and communications published in the journal are those of the author(s) and do not necessarily reflect those of the Editorial Board or the publishing institution.

Publication Rights

If the manuscript is accepted for publication, the reproduction rights will belong to the University of Caldas. As mentioned, each article must be accompanied by the “Authors’ Commitment Statement” form, which specifies that the work is unpublished and states that the reproduction rights are the exclusive property of the journal, in addition to other aspects explicitly outlined in the document, such as the prohibition against simultaneous submission for publication in another journal. Furthermore, the author is responsible for obtaining the necessary permissions to reproduce any material protected by copyright and must clearly specify which table, figure, or text will be cited, along with the complete bibliographic reference. The opinions, judgments, and viewpoints expressed by the authors are their sole responsibility and do not reflect the criteria or policies of the journal.

Article Retraction Policy

Regarding the possibility of retracting articles published in the journal—which involves the option to invalidate or annul, in whole or in part, what was previously stated or included in any issue of the journal—the University of Caldas establishes the following policy.

The Scientific Bulletin of the Center for Museums strictly adheres to the guidelines provided by COPE regarding the grounds for retraction of articles published in this journal; accordingly, the following shall constitute general grounds for retraction of publications:

  1. Failure to comply with requirements during the editorial process.
  2. Proven falsification of information used to advance the editorial process.
  3. Verified instances of poor editorial practices on the part of the authors.
  4. Failure to comply with the ethical principles that should have been observed.
  5. Deliberately including imprecise or inaccurate information.

Article Retraction Policy

Retraction, as the act of withdrawing, reducing, or renouncing something, expresses the right of the author of a work or article to declare their intention to disavow or renounce what was previously stated or recorded. This is manifested in practice through the author’s ability to make this known to their readers via the same medium through which the article or work being renounced was originally published. Retraction is a personal act, stemming from the author’s autonomy of will and their processes of thought and reflection.

Procedure for Retraction and Withdrawal

In cases of retraction and withdrawal intended to invalidate or annul, in whole or in part, what was previously stated or included in any issue of the Journal, as well as to withdraw or renounce a work, article, or opinion that has been published, the author or a third party with demonstrated legal interest who intends to make use of this policy must send a written communication to the Editor of the Journal; in which, either by invoking their status as the author or by submitting evidence of their legal interest in the request, as applicable, they shall present the arguments and provide the necessary evidence to request the retraction, specifying its scope. In cases of retraction, the author shall submit the retraction notice to be included for consideration by the Editor and the Editorial Board.

Following the above, and once the submitted documents have been verified—or after the author’s status has been confirmed in the case of a retraction—within a period not exceeding 10 business days, the Editor shall present the case to the Editorial Board; the Board shall deliberate and decide by vote, by a simple majority (half plus one), on the request; if accepted, the matter will be processed within no more than 30 business days.

There shall be no right of appeal against the decision; however, the applicant or another person with a legitimate interest in the matter may resubmit a request for retraction or withdrawal, as applicable, and provide or supplement the evidence previously submitted. Any member of the Editorial Board may request and initiate the procedure for retraction. In the case of withdrawal, only the authors or rights holders may submit the request.

Once a decision has been made regarding the validity of the retraction or withdrawal, as applicable, it will be published in the next issue of the journal, provided that this is editorially feasible; otherwise, it will be included in the following edition. In cases of retraction, the note provided by the author will be included.

Procedure for Duplication

For the duplication of texts—which consists of the possibility of copying or reproducing, verbatim, one or more times, a piece of content or literary work in a new medium (digital or any other format)—the Journal follows the general procedure below: All editorial material for which reproduction has been requested or authorized shall be prefaced with a caption that clearly identifies it as a reproduction and distinguishes it from the original.

To carry out this type of reproduction, the applicant must complete the internal reproduction request form and submit it to the journal’s email address (ver formato). The form must be completed by the person responsible for the procedure, even when the journal itself determines the need for reproduction.

Procedure for Including Errata

For the journal’s publications, an erratum is to be understood as the standard method of editing and subsequent correction of any article, through which all errors detected in an issue of the journal are corrected. For this procedure, it should be noted that if only part of the article contains an error, it may be corrected later through an editorial note or an erratum.

In the event that an author or any third party, including the journal’s staff, discovers a serious error in the publication, they must report it in writing and in detail to the Editorial Board so that it can be corrected via an “errata.”

To carry out this type of correction to the editorial content, once the occurrence of the error and the solution have been determined, the errata will be included on one of the opening pages of the next issue of the journal, provided that this is still editorially feasible; otherwise, it will be included in the following issue.

Procedure Regarding Originality and Plagiarism

For the purposes of this policy, originality must be considered from two perspectives: first, as the certainty that the work originates from the person claiming to be its author; second, that the work is novel and distinct from others created previously. The concept of plagiarism also refers to the work or article being distinct from copies, forgeries, or unauthorized derivatives, or from the unauthorized or inappropriate use of excerpts from other works.

It is the authors’ responsibility to ensure the originality of the articles submitted to the journal, as well as the accuracy of the data and results included therein, clearly and concisely stating that the content is original and has not been copied, fabricated, distorted, or manipulated.

Plagiarism or the unauthorized use of content belonging to others or third parties, in all its forms, is strictly prohibited by the journal; similarly, multiple or redundant publication is considered a serious ethical violation.

Authors shall refrain from submitting to the Journal texts that have been simultaneously submitted for consideration to another journal; however, it is permissible to publish content that expands upon other works already published or under consideration, provided that the text on which it is based is properly cited.

As with retraction cases, in instances of duly verified plagiarism or unauthorized use of content belonging to others or third parties, the complainant must submit a written statement to the Editor setting forth the arguments and providing the necessary evidence to support the complaint. Following this, and once the submitted documents have been verified—within a period not exceeding 10 business days—the Editor will present the case to the Editorial Board, which will determine whether the alleged incident actually occurred; the Board will also bring the matter to the attention of the relevant authorities or the affected parties, as appropriate.

Conflicts of Interest Involving Reviewers

It is the responsibility of the Journal’s internal and external reviewers to disclose any conflicts of interest that arise in relation to the works submitted for their consideration.

A conflict of interest arises when, with respect to a manuscript submitted for review by a reviewer or a member of the editorial team, there is a direct personal or professional relationship with the author, a hostile relationship, or any other relationship with the research that gave rise to the manuscript; or when there is a profound moral or ethical conflict regarding the subject matter under review. In general, members of the editorial team and external reviewers must refrain from reviewing works when any of these or similar situations arise.

The journal’s editorial team will refrain from selecting reviewers whom they know to be, or who may be, affected by any of the situations mentioned above.

Reviewers’ Confidentiality Statement

Without exception, anyone conducting an evaluation or review of a manuscript submitted to the journal must treat it as strictly confidential until its publication; therefore, they may not disclose any aspect of its content or their personal opinions throughout the entire review process and until publication is complete.

It is clear that, under no circumstances, may the information under consideration be made public or used; nor may details, arguments, or interpretations contained in the text under review be disclosed, either for one’s own benefit or that of third parties. Only in special and duly justified cases may the reviewer seek the advice of experts in the field, a circumstance that must be reported to the Journal.

Ethical Considerations

Where applicable, an explanation of the procedures followed in the research must be included to ensure compliance with the ethical principles and standards of the 1975 Declaration of Helsinki and subsequent revisions.
